Arkansas Reproductive Health Monitoring System (ARHMS)

Job Summary:

Maintain abstraction responsibilities for assigned health care facilities. Responsible for case identification of children eligible for birth defect registry and/or special studies by reviewing ICD-9/10 codes, hospital logs, and diagnosis reports from specific health care facilities. Other responsibilities include medical record review and abstraction of ARHMS data elements for identified subjects. Using accepted birth defect anomaly coding classification system (ARHMS modified 6-digit birth defects codes), assign appropriate diagnostic code(s) to diagnoses and associated abnormalities facilitated by thorough reviews of medical record discharge summaries, operative notes, progress reports and diagnostic tests. Consult ARHMS Medical Director or designated clinical professional regarding ambiguous diagnoses or diagnostic test results. Prepare abstracted health data for review by Director or Clinical Reviewer. Respond to communications and address any requests from clinical reviewers of ARHMS-supported research studies. Further support finalization of data by re-reviews of medical records or reassignment of codes as needed. Incumbent will meet organizational objectives, policies and procedures while maintaining required documentation, conducting quality control checks and ensuring all confidentiality policies are followed. Provide general support to the Medical Director while maintaining flexible schedules and coordinating travel with health care facilities across the state to meet project deadlines.

Job Description:

 Abstracting – weight 85%

  • Accurately identifies, abstracts, and codes medical and demographic information for ARHMS
  • Prepares all documentation required prior to and following visits at facilities
  • Follows all procedures for confirming and finalizing information collected for ARHMS
  • Communicates with and travels to assigned health care facilities

Communication – weight 10%

  • Attends and participates in required meetings for ARHMS personnel regarding surveillance and/or research projects
  • Serves as a liaison to departments within and outside the hospital to consult, advise and provide general support to the Medical Director

Other duties – weight 5%

  • Assist in research study activities and performs other duties as assigned by the Medical Director

Education Requirements:

  • Associate’s degree or equivalent from two-year college program or technical school or nursing diploma
  • Field of Study: Health Information Management
  • Experience Substitution: Or two years related experience and/or training; or equivalent combination of education and experience.


  • Bachelor’s degree from four-year college or university
  • Field of Study: Health Information Management

Certification / License / Registry Requirements:

Required: Registered Health Information Technologist (RHIT) (Certification) or Registered Health Information Administrator (RHIA) (Certification)
